Our Client transforms the lives of those affected by Alzheimer's Disease and related dementias through critical services, support, and a commitment to enhancing quality of life. They are seeking a friendly, organized professional to be the warm first point of contact for visitors and callers — reporting directly to the COO.
 
Key Responsibilities
 
Front Office & Operations
  • Answer and route incoming calls; welcome and assist visitors, clients, and caregivers
  • Process mail; perform filing, data entry, printing, scanning, and document preparation
  • Manage conference room schedules, organizational calendars, and office supplies
  • Maintain organized electronic and physical records
  • Coordinate with vendors on supplies, equipment, and maintenance
Finance & HR Support
  • Assist with billing, receipts, receivables, deposits, and accounts payable processing
  • Serve as backup for payroll processing in QuickBooks; support reconciliations and recordkeeping
  • Coordinate employee onboarding/offboarding; maintain personnel files, anniversaries, and PARs
  • Maintain confidentiality of all financial, payroll, and HR information
Events, Donor & Program Support
  • Attend Board meetings and prepare minutes; coordinate staff events, potlucks, and gatherings
  • Maintain donor database; prepare and mail acknowledgment letters and support fundraising activities
  • Assist Resource Specialist with client intake as needed
  • Keep common areas tidy; create a welcoming environment through seasonal decorating
Qualifications
  • High school diploma or GED required; 2+ years of administrative, office support, or customer service experience preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
  • Experience with QuickBooks or similar accounting software preferred; basic bookkeeping knowledge a plus
  • Strong organizational, communication, and time management skills
  • Ability to handle sensitive information with discretion and professionalism
  • Valid Alaska driver's license, clean driving record, and proof of auto insurance
  • Must pass a state and federal criminal background check
  • Must have access to a personal vehicle for occasional company business
